Terms and Conditions
RESERVATIONS AND PAYMENTS Confirmed reservations require a deposit of $300.00 per person within 7-days of booking. Otherwise reservations will automatically be canceled. Final payment is due 60 (90-days for cruises) days before departure. Reservations made within 44-30 days of departure must be paid in full within 72 hours. Reservation requests received within 30 days of departure are subject to availability. A fee of $35 will be added when reservation procedures require forwarding of documents by express delivery. Documents will be sent 14-21 days prior to departure. Any changes to a confirmed reservation and any late bookings will be assessed a charge of $35 in-addition to full payment. If you make payment by check or money order and pay your tour in full…within seven (7) days of making your reservation – we’ll discount the entire cost of your trip by 3%. If your check is returned from your bank for any reason, your reservation will no longer qualify for the 3% cash discount; a $35 processing fee will be added to your account balance; and all future payments will need to be made by credit card or certified funds.
AIRFARES: FOS Tours prices are based on land or cruise only and do not include international airfare. Air inclusive rates quoted by our call center are based on roundtrip purchase in designated classes of service from select gateway cities on select routings and include all government imposed taxes and fees, including the September 11th Security Fee. Air inclusive rates may require advance purchase, and carry airline restrictions, including specific travel date requirements, blackout dates as well as baggage fees; contact your airline or visit the airline’s website for applicable baggage fees. Seat assignments and flight schedules are subject to change without notice. Land only rates are guaranteed upon deposit; air inclusive rates are subject to change before receipt of full payment. CANCELLATION All cancellations must be made in writing. The date of the cancellation shall be, the date that written notice is received by FOS Tours. All tour cancellations will be charged an administrative fee of $100 ($300 for cruises) per person. For written cancellations received within 60 days of departure, the following cancellation fees will also apply: 59 – 45 days, $300 per person (75% for cruises); 44 – 30 days prior to departure 50% (100% for cruises) of tour cost plus the administrative fee; 29 – 15 days, 75% of tour cost plus the administrative fee; 14 – 1 Day or No Show 100% of the tour price will be retained as penalty. All visa fees are non-refundable. No refunds will be made on any unused services of the tour.
OPERATOR CANCELLATION Tour prices are based on a minimum number of passengers booking a tour: a minimum of six for Russia at a Glance; for Russia & Ukraine; for The Baltic Capitals and two for Uzbekistan at a Glance. All escorted tours have a maximum of 16 passengers. FOS Tours & Travel reserves the right to cancel any tour prior to departure if a minimum of participants is not met or if any other circumstances so warrants. If bookings for such tours fall below the minimum required passengers, travelers will be advised of the additional cost for that departure date and/or be offered alternate dates. Every effort will be made to accommodate passengers on another tour or at passenger’s option entire payment will be refunded, less visa fees without further obligation on the part of the operator.
INSURANCE Travel insurance, such as trip and cancellation, lost baggage, health insurance for medical emergencies is strongly recommended in order to protect your travel plans. Please ask FOS Tours or your travel agent for additional information on insurance.
PASSPORT AND VISAS FOS Tours offers an optional in-house visa service for our clients. All tour members must have a valid passport. Visa fees are not included in the tour price. Passenger(s) shall not hold FOS Tours responsible should a member of the tour be denied or refused a visa by a consulate. In the event of such a refusal, all expenses incurred by FOS Tours to cancel, as well as all routine cancellation fees and charges will be borne by the individual. Documentation for non-US citizens is the responsibility of the individual. All travel documents, as well as compliance with all visa and custom regulations, are the sole responsibility of tour participants, not of the tour operator. Additional fees for visa processing will be incurred for late bookings. Passport number, date and place of issue, and birth date is now required by many foreign governments, airlines and trains, and may be required to confirm services. Names on your airline tickets must match the first and last name listed on your passport. Your passport must be valid for six months after your return to the U.S.
HOTELS On each tour, accommodations are based on twin-bedded rooms with private facilities. The operator reserves the right to substitute hotels in the same or a superior category.
REFUNDS for refunds must be submitted in writing and received by FOS Tours in Jericho, New York, within 30 days of cancellation or non-receipt of services. No claim(s) will be considered after that date. Unused travel documents must be submitted with claim. Please allow a minimum of six (6) weeks to process a claim. Refund requests for absences, missed sightseeing, meals, or other unused services are not granted.
BAGGAGE Airline baggage allowance regulations are based on a weight and measurement system determined by the international carrier. Airline restrictions may include baggage fees: contact your airline or visit the airline’s website for applicable baggage fees and up to date dimension. FOS Tours recommends one piece of check-in luggage and a carry-on bag. FOS Tours is not responsible for loss, delayed, theft, or damage of luggage. Baggage insurance is strongly recommended.
NOT INCLUDED Airport taxes, passport and visa fees, and excess baggage fees are not included in the price of the tour. Also not included are items of a personal nature, such as telephone calls, additional food or beverage items, room service, valet or laundry service,
optional activities, meals or drinks not listed as included, tipping for personal service not part of the tour, end-of-tour gratuity to tour escorts, and any other items not mentioned as included. Gratuities for the tour manager, local guides, drivers, and cruise staff are not included and are at the discretion of the individual traveler.
ITINERARY VARIATIONS These tours are planned a year or more in advance. Between planning time and the actual tour operation, FOS Tours constantly strives to improve each itinerary and all features to your advantage, convenience and enjoyment. During local or national holidays’ abroad, certain features, such as museums, sightseeing tours and shopping may be limited or unavailable. In such instances, and whenever possible, itinerary adjustments and substitutions are made to minimize inconveniences. Modifications in the day-by-day itinerary may occur, due to the local conditions and/or operational difficulties beyond our control. Also, should it be necessary local suppliers reserve the right to substitute accommodations, tours, performances, meals, etc., with those of equal or better value, with no further obligation. Prices are based on tariffs and exchange rates in effect as of November 2008. The effect of inflation, foreign currency exchange levels and increased fuel cost, labor and materials may sometimes alter the costs of our tour arrangements. We regret that we cannot simply absorb these cost increases. We reserve the right to alter our prices accordingly, whenever these cost increases and/or unfavorable fluctuations in the exchange rate of any country so warrant.
RESPONSIBILITY FOS Tours & Travel, Inc., hereafter called the Company, acts only on behalf of hotels, airlines, its companies, railroads, steamship lines, its owners, operators or contractors (all herein called Contractors) providing services in connection with these tours, and all coupons, exchange orders, receipts, contracts, and tickets issued by Company are issued subject to any and all tariffs, terms and conditions under which the foregoing or any such services are provided by Contractors. The airlines concerned are not to be held responsible for any act, omission or event during the time passengers are not aboard their plane or conveyance. The passenger contract in use by airlines concerned when issued shall constitute the sole contract between the airlines and purchaser of these tours and/or the passengers.
